Pontiac Dist 429 PTO Meeting
December 15, 2009
Tina Weber brought the meeting to order. The minutes were reviewed and approved with two corrections.
Linda reported to the Board that a $343 profit was made this year from the Secret Santa Shop. The basketball teams, student council and cheerleaders helped out on Friday. Scheduling the event with the fundraiser pick up worked out very well. More volunteers could have been used on Saturday. Most of the students were busy with games. We would like to make the event bigger and better next year…maybe cookies and hot chocolate for the parents. We also need to make sure the staff is reminded so they can pass it along to the students.
Family Reading Night – Beth told the Board we had approximately 160 people in attendance. We have received all positive feedback. The $100 donation from PEA covered all expenses.
All the Book Fairs were very profitable to the schools. Central was to receive $1600 in Scholastic book vouchers. They opted to take the $800 in cash instead. This money goes into the library activity fund for the purchase of books. Washington also chose to take the cash in the amount of $650. The Jr. High received $665 in vouchers. Lincoln took $233 in cash and $450 in vouchers. When asked why some chose to take the cash instead of the book vouchers, it was explained that the Scholastic Books are paperback and don’t hold up well. The cash will be used to buy better quality books. Washington and Central are both considering another book fair in the spring.
Fundraiser pick up went well. All remaining items were dispersed to the schools and sent home with the students the following Monday. The pizza party will be at 11:00 tomorrow at the Jr. High. The top 8 6th graders will be attending. Central, Washington & Lincoln will be having theirs in the afternoon as a snack. Seven $25 gift cards were purchased and will be given to the top seller in each grade level. The top 7 selling classrooms were put into a drawing for a gift basket containing a $25 Barnes & Noble gift card and $25 in classrooms supplies. The three winning classes were Mrs. Wayman, Mrs. Gray and Mr. Verdun.
The Board discussed a spring fundraiser. It was suggested that we make the spring our big fundraiser and doing something smaller in the fall. Mike Weaver explained at his previous school they did a chicken dinner. A local business donated his time and services and the school got a portion of the profits. Kel Krenz told the Board about a fundraiser done at St. Mary’s in Bloomington. They have a chili cook off. People vote, prizes are awarded, then people pay for a chili dinner. They make about $15000 in profits. Kel also suggested Fannie May. Judy Donze will get more information on that.
A chairperson is going to be needed if a spring fundraiser is going to be done. Kel will post a request on Teacher Ez to look for help. Beth, Kim and Shelly will be working on this. Shelly will be the volunteer contact person.
Kim Verdun gave the Treasure’s report. The total profit from the fall fundraiser was $8691.49. $160 was not collected. These items have been returned and a refund will be coming back to PTO. $435 is going toward the pizza parties and gift baskets.
The November Community Day netted $293.47 in profits. The next one is scheduled for January 11th. Tina said the owner will be there to supervise the event.
Mike motioned to approve the Treasure’s report. Mary Nyi seconded the motion.
Family Movie Night is scheduled for February at Lincoln School. It was suggested doing a couple different movies in different rooms so the students have an option. Maybe have an inexpensive concession stand with popcorn and drinks. Jackie will work with Maggie Janssen/Jayne Manning to see what day will work best.
Jackie asked the administration why the play ground equipment isn’t being shuffled to different schools. Kel explained that if the equipment is moved, it then has to meet code, none of which would meet code now. Central is getting $30,000 from the Humiston Trust to purchase new playground equipment.
Kim was asked to pull together past income/expense data from all four schools. The Board would like the administration to put together a list of recommendations for next year’s budget for the January meeting. We would like to have a budget put together by the February meeting.
Laura Kilgore said she talked to Angela regarding Box Tops. She is very frustrated and could really use some help. Tina will contact her to see exactly what we can do help.
Mrs. Donze will have a meeting in January to discuss the Lock-in and alternate activity to the Fine Art’s Night.
The next meeting will be held January 19, 2009 at 6:00 at Central School.
Tina made a motion to adjourn the meeting. Judy seconded.
